State Archives Announces $4 Million In Local Government Records Management Improvement Grants
The New York State Archives awarded $4 million in Local Government Records Management Improvement Fund (LGRMIF) grants to over 70 local governments, government agencies and school districts across the state to help improve records management systems to better serve the public, State Department of Education Commissioner MaryEllen Elia announced today.
鈥淲e鈥檙e proud to support projects to improve records management in local governments and school districts across the state,鈥 said Board of Regents Chancellor Betty A. Rosa. 鈥淩ecords are a key element in civic engagement, public service and government accountability. These grants support the management of government records so these documents are available and accessible to future generations.鈥
鈥淏y supporting the development of better records programs, we assist local governments and school districts in meeting their obligations to the citizens they serve, help to preserve our state鈥檚 local history and support easier access to records of local communities,鈥 Commissioner Elia said. 鈥淚 thank the applicants for their commitment to their community and for promoting improvements in local government.鈥
鈥淭hese grants continue to provide critical support to local governments as they meet the records management challenges of new technology and online access to information,鈥 said Carolee Conklin, Rochester City Councilmember and chair of the Local Government Records Advisory Council, which provides advice and guidance to the 群交Porn Department on programs and grants to support records management in local governments in New York State.
Awards range from $1,256 to $200,000. Awards by county are below:

The State Archives, part of the 群交Porn Department, administers the LGRMIF grants, which are used by local governments to improve their record management systems to better serve the public. It is a competitive program with grants awarded based on the merits of the applications. The LGRMIF derives its revenues from a small fee paid when people file or record documents with county clerks and the Register of the City of New York.
Since its inception in 1988, the program has provided over $250 million in competitive grant funds to local governments statewide.听 These funds support a wide variety of projects that help local governments manage paper, and increasingly, electronic records.听 Project categories include:
- Disaster Management: projects aimed at developing, testing and implementing disaster and business recovery plans to protect local government archival and vital records, both hardcopy and electronic.
- Inactive Records: projects aimed at planning, developing or improving the management of records during the inactive phase of their life cycle. Inactive records are records that are used infrequently but must be retained because their retention periods have not yet expired.
- Historical Records: projects aimed at preserving historical records or using local government records as teaching tools in the community and in the classroom.
- Files Management: projects aimed at improving the systematic control of active files.
- Document Conversion and Access: projects aimed at converting records to another format through the use of microfilming or imaging.
Grant projects may start on July 1, 2017 and all work on grant projects must be completed by June 30, 2018. For more information about LGRMIF please visit:
